So, I pretty much need a complete explanations for this o.o''
But, my main questions is: Do you have to have the Pokemon in your pokedex to look for it in trades or put it as your wanted pokemon?

Yes, you do actually. If you want a certain Pokemon, find it so it can be in your Pokedex, and then it will be in the GTS so you can seek it or want it.
